A £1000 non-refundable deposit secures your date
50% of your remaining bill is due three months prior.
Full payment and confirmation of final guest numbers should be made 4 weeks prior.
A wedding function is only deemed confirmed by Manhay Farm on receipt of written confirmation and receipt of initial non-refundable deposit. Where the event is within 30 days of the booking date, both confirmation and full payment of the anticipated costs is to be made. The prices charged for your wedding will be agreed upon at the time of your confirmation. In addition to the confirmation deposit, a further non-refundable payment of 50% of the total anticipated cost will be required 3 months before the event. Final payment is required with confirmation of final numbers 30 days before the event.
1. Any “Extra” services we subsequently agree on are at our discretion to provide to you and will also be detailed on this page and billed to you as and when such services are requested. We agree in writing to supply them. We reserve the right to make an additional charge should there be any variations from the initial order. Such variations will be agreed upon in advance in writing with you.
2. You have 14 days from making your initial payment to cancel for a full refund unless your booking is due to start in the next 14 days.
3. For bookings made less than 30 days before the start of the venue hire date, the total fee is payable on booking. The balance is due at least 30 days before your event. If you fail to pay the balance on or before the due date, we regret that we may treat this as a breach of contract and may not be able to continue booking as planned.
4. We accept cash, bank transfers, debit or credit cards. Payments made via credit or debit card machine will incur a 3.5% fee charged to us by our payment gateway provider. We waive the 3.5% fee for credit & debit card payments under £100 on wedding venue initial costs (allowing you to pay for up to £100 FOC to allow cover under Section 75 of the Consumer Credit Act.)
5. Additional services such as planning, design, decor, furniture, food & drink or entertainment commissioned by you from us to be bespoke or sourced from external suppliers may be subject to their terms and conditions.
6. We do not add VAT to our invoices.
1. Decorating the venue is permitted, but please be mindful not to damage the fabric of the building. We expect the venue to be left as found by you and your guests or suppliers. Feel free to decorate the space and add any elements you desire during your hire period.
2. Candles & small fire pits are permitted, but please ask you to speak to your wedding coordinator to help arrange this to limit fire risk. Chinese lanterns & fireworks are not allowed. You and your guests are not permitted to bring onto the venue or light any flammable item without our permission in writing from the venue.
1. You can work with any suppliers you wish; from time to time, we may recommend suppliers to you on request, this is a recommendation only, and it is your responsibility to confirm all elements yourself with external suppliers. We will accept no liability for any services provided or purportedly provided by any external supplier.
2. We will require copies of proof of relevant insurance and health & safety risk assessment before the event from any external supplier. Current health and safety guidelines, such as PAT test certificates, must cover all equipment. We reserve the right to deny access to third-party suppliers who do not meet our requirements intended to ensure the safety of the venue and the welfare of its staff and guests.
3. You and your suppliers may have access to the venue from 11 am – 6 pm the day before the event and from 9 am until 11 am the day after the event. Additional access will be subject to charges.
4. All rubbish created by external suppliers must be removed by said suppliers or arranged to be removed by yourselves. Suppose we must dispose of items such as food & catering waste, decorations or soiled items left behind on the site. In that case, we may pass on a cleaning fee of £370, payable within seven days of the event finishing.
1. Please note that alcohol sale rules and age restrictions still apply to alcohol you brought to the venue as alcohol sold by or at the venue. Any rubbish made from alcohol you provide must be removed from the site when you vacate on Sunday, or we charge a disposal fee of £370.
2. We operate a strict challenge 25 policy; please ensure all guests bring ID. No alcohol will be consumed at the venue by anyone under 18. Unfortunately, we may have to ask anyone attempting to supply alcohol to any guest under 18 to leave the venue.
3. We reserve the right to refuse the sale of alcohol to anyone we deem to be acting in a way that endangers themselves or others.
1. All music or entertainment for the event must cease by 11.00 pm. All guests not staying in prebooked accommodation should vacate the premises BY 11:30 pm. We kindly ask your guests to keep noise levels at a respectable level while at the venue and when leaving the premises not to disturb residents.
1. You must provide your guests with information regarding venue arrangements, such as car parking, taxis, and glamping
2. We reserve the right to stop any activity likely to damage the venue or risk the safety of people there. We will not tolerate any abusive behaviour by guests towards anyone at the venue.
3. We reserve the right to ask anyone misbehaving to leave the venue. If they refuse, we may end the wedding early and seek assistance from the police. You would not be entitled to a refund, and fees would still be paid.
4. Smoking is prohibited inside any part of the venue, including vapes. We will charge a cleaning fee of £370 if we have to remove excessive cigarette buts. Please dispose of all smoking materials in the bins provided.
5. Please arrange taxis and other transport before the event. We do not have an active taxi service in this area. Suppose guests cannot vacate by said time or cause a disturbance that we must attend after midnight. In that case, additional charges may be passed onto you and payable after the event.
1. Please report any accidental damage or breakage immediately to a member of staff.
2. Any damage caused to the venue, neighbouring properties, vehicles, its equipment, contents or fittings or its grounds from misuse or negligence by you or your guests will be deemed your responsibility and will be invoiced directly to you, payable within 14 days of invoice.
1. If you want to cancel a confirmed booking, you must do so in writing.
2. You will have a cooling-off period of 14 days from paying your initial payment to cancel for a full refund.
3. After 14 days, you must pay us any losses and costs we suffer because of the cancellation, which was reasonably foreseeable to you and us. We will tell you the exact cancellation charges, and you must pay the costs within 14 working days of our invoice.
4. We strongly recommend that you take out private wedding insurance to ensure that you can meet any financial liabilities in the unlikely event that your wedding is cancelled for any reason; this is available at a low cost from most insurance brokers.
Suppose we cancel your booking under this paragraph. In that case, you will be liable for any losses and costs we suffer because of the cancellation, which were reasonably foreseeable to you when the contract was entered into. Depending on when we cancel, the cancellation charges you must pay will be based on the timings for payment referred to in these terms and conditions and any pro-rata costs incurred before the event cancellation.
We reserve the right to cancel your booking without liability if:
1. You do not pay us the balance of your wedding package price by the date due or;
2. We have reasonable grounds to believe that you may not pay us the balance of your wedding package price by the due date, and we have requested you to explain the position, and you have not done so satisfactorily or;
3. We discover, before you have paid the balance of your wedding package price that you have deliberately concealed information, or given us incorrect information, about your intended wedding in circumstances where (if you had not done so) it would have been reasonably foreseeable that we would not have accepted your booking or that additional costs would have been foreseeable to us from such undisclosed information; or
4. We have reasonable grounds to believe that your behaviour or that of your guests at the wedding is likely to damage the venue or cause injury to people.
5. We strongly recommend that you take out private wedding insurance to ensure that you can meet any financial liabilities in the unlikely event that your wedding is cancelled for any reason; this is available at a low cost from most insurance brokers.
1. We shall not be liable or responsible for any failure to perform, or delay in performance of, any of our obligations under our contract with you caused by events outside our reasonable control, such as, but not limited to, severe damage to the venue making it unsafe to attend, extreme adverse weather conditions, serious illness, a pandemic or epidemic, war, interruption or failure of utility services such as electric power, gas or water or lockdown restriction, change in the law or restriction placed by any statutory bodies which affects the original booking agreement and limits our ability to fulfil our contract.
2. In these circumstances, we will notify you as soon as possible and make every effort reasonably practical to suggest alternative venues of a similar standard for a comparable price or to move the dates of your wedding package by agreement with you to an alternative date.
3. We strongly recommend that you take out private wedding insurance to ensure that you can meet any financial liabilities in the unlikely event that your wedding is cancelled for any reason; this is available at a low cost from most insurance brokers.
